What we collect
For your account: your name, your email, and your password — stored only as a bcrypt hash, never readable by anyone including us — plus the language you chose, so our emails reach you in it. For meetings: the code, who created it, and when. That is the list.
Your calls
Your audio and video pass through our server only to be forwarded to the other participants, live. Venhyia never stores your audio or video on its servers, and does not analyse what you say. When the call ends, the media is gone — it was never written down.
Recording exists, and here is exactly how it works: it happens only when the meeting host switches it on; every participant sees a clear red banner the whole time it is on; and the recording is saved to the host’s own device — it never touches our servers. We could not hand your recording to anyone even if asked, because we never have it. Nothing is ever recorded silently. If any of this changes, this page will say so before the feature does.
Polls are the one deliberate exception, and only partly: in-call votes are anonymous by default and counted in memory — nobody, including the host, sees who chose what, and nothing is stored. On the ORG plan, a poll’s question and final counts are saved when the host closes it, so organisations keep their decisions. Voter names are stored only when the host opens a recorded (roll-call) vote — an ORG-only mode where every voter sees an on-screen warning before voting that their name will be saved with their choice. An anonymous poll never pairs a name with a choice, anywhere.
No ads, no trackers
Venhyia shows no advertising and runs no third-party trackers or analytics. Venhyia uses two small cookies: one keeps you signed in, and one protects your forms from forgery. If you choose a language, a third remembers it. On the sign-in pages, the “Continue with Google” button loads Google’s own sign-in script; nothing else from outside is loaded. A meeting is a private gathering, not inventory — this is a promise of the product, not a setting.
Where your data lives
On our server in the European Union (Hetzner, Finland), protected in transit by HTTPS. We do not sell or rent your information. We share only what a payment needs — your email and the amount — with Paystack, when you choose to buy a plan, and otherwise only if the law of Ghana properly requires it.
Your rights
Want your account and its data deleted, or a copy of what we hold about you? Email hello@venhyia.com from your account email and we will do it within 14 days. Payments are handled by Paystack, a licensed payment provider regulated by the Bank of Ghana. Venhyia itself never sees or stores your MoMo PIN or card numbers.
